Privacy Policy

Last updated: November 30, 2025

Howdy ('Howdy', 'we', 'our') is a note-taking app that helps you record audio, generate transcripts and summaries, and create optional study tools using AI.

This Privacy Policy explains what information we collect, how we use it, where it is stored, and what choices you have.

Howdy is operated by Idioglossia, LLC, a Delaware limited liability company.

For any privacy questions, contact us at support@howdynote.com.

1. Overview

Howdy respects your data. We store your audio and notes so that you can access them, summarize them, and generate study tools from them later. You can delete individual notes in the app, and you can ask us to delete your entire account.

We do not sell your data and we do not use advertising or third-party analytics SDKs (such as Mixpanel).

2. Information We Collect

2.1 Account Information

When you create an account or sign in, we collect:

  • Your email address
  • Optional profile information, such as a display name or photo

We use this to identify your account and show your profile in the app.

2.2 Notes, Audio, and Content

When you use Howdy, we receive and store:

  • Audio that you record or upload
  • Optional typed notes you create
  • Optional media or attachments you add

Using this content, we generate and store:

  • Transcripts of your audio
  • Summaries (for example, in Markdown)
  • Structured note data
  • Study tools and add-ons (such as flashcards, quizzes, and mind maps)

This content lives in your account and is visible only to you unless you choose to share it outside of Howdy.

2.3 Usage and Subscription Data

To operate the app and your subscription, we collect:

  • Which plan you are on (free or paid tier)
  • Your available credits and audio minutes
  • Basic usage information (for example, how many notes or AI actions you have run)
  • Subscription status and renewal information from the app store or billing provider

We use this only to run the app (such as enforcing limits and determining costs), not for advertising.

2.4 Communications

If you ask us to, we may send you emails with your note content (for example, summaries) using an email service provider.

You can choose whether or not to use these features.

3. Where Your Data Is Stored

We store your data with reputable cloud providers:

  • Authentication and database

We use Firebase (by Google) to manage accounts and store notes and related content.

  • File storage

We use cloud storage (for example, Firebase Storage) to store audio files and any media you upload.

  • Search and retrieval

We use a hosted database to store text and embeddings that power search and chat features over your content.

  • AI processing

    • We send your audio and note text to our AI partners for transcription and some summarization. Audio sent to our AI partners is configured to be deleted after processing.
    • We send your note text and prompts to AI partners to power chat and study tools such as flashcards and quizzes.
  • These providers process your data only so we can deliver Howdy's features.

  • On your device

Your device stores temporary audio during upload and may keep a local cache of your notes for performance. The operating system's standard protections apply (for example, iOS data protection).

4. How We Use Your Data

We use your information to:

  • Create and manage your account
  • Store and display your notes, audio, transcripts, summaries, and study tools
  • Transcribe and summarize your audio using AI
  • Generate study tools and optional chat experiences based on your notes
  • Track usage, credits, and subscription status
  • Send you optional emails you have asked for
  • Maintain and improve the reliability and security of Howdy

We do not:

  • Sell your personal data
  • Share your data with advertisers
  • Use cross-app tracking or behavioral ads

5. AI and Content Limitations

Howdy uses third-party AI models to generate transcripts, summaries, chat responses, and study tools.

AI-generated content:

  • May be inaccurate, incomplete, or outdated
  • Should not be treated as medical, legal, financial, or professional advice
  • Should be used as a helper tool, not a substitute for your own judgment

You are responsible for how you use AI-generated content from Howdy.

6. Data Retention and Deletion

6.1 How Long We Keep Data

We keep your notes, audio, and account information for as long as your account exists, unless:

  • You delete the content yourself, or
  • You ask us to delete your account and data, or
  • We are required to delete or retain certain data by law

We do not automatically delete your content due to inactivity.

6.2 Deleting Notes

You can delete individual notes in the app. When you do:

  • The note and its associated content (such as transcripts, summaries, and study tools) are removed from our primary databases.
  • We also delete or unlink related files and search data where technically feasible.

6.3 Deleting Your Account

You can request account deletion by contacting support@howdynote.com from the email address associated with your account.

When we delete your account:

  • Your notes and associated content are removed from our systems
  • Your audio and media files are deleted from storage
  • Your account record and login credentials are removed from our authentication system

Some limited logs or aggregated data may remain for security, anti-abuse, or legal reasons, but they are not used to identify you in everyday operation.

7. Your Rights and Choices

You can:

  • Use or not use optional features, such as email delivery of notes
  • Edit or delete your notes inside the app
  • Request deletion of your account and associated data
  • Request an export of your core content (for example, your audio files, notes, summaries, and study tools), subject to technical feasibility

At this time, we are not able to provide a meaningful export of:

  • Internal technical records such as usage logs or cost metrics
  • Embeddings and other low-level machine representations
  • Long-term chat history (we do not maintain a full, durable chat archive for export)

To exercise any of these rights, email us at support@howdynote.com.

8. Children's Privacy

Howdy is a general-purpose productivity and study tool and is not specifically directed to children.

We do not knowingly collect personal information from children under 13 without appropriate consent. If you believe a child under 13 has used Howdy and provided personal data without consent, please contact us at support@howdynote.com and we will review and delete data where appropriate.

You are responsible for following any age and consent laws that apply to you.

9. Recording, Privacy, and Legal Compliance

This Privacy Policy describes what we do with your data, but it is your responsibility to:

  • Follow local laws around recording and privacy
  • Obtain consent from people you record when required
  • Respect school, workplace, and other institutional rules
  • Avoid storing or sharing sensitive information in ways that violate your obligations

For more detail, please see the Recording and Content Policy section in our Terms of Service.

10. Changes to This Policy

We may update this Privacy Policy from time to time. If we make significant changes, we will let you know in the app or by other reasonable means.

Your continued use of Howdy after changes take effect means you accept the updated policy.
